The Department

The Facilities department provides first class support to all areas of the business including Maintenance, Helpdesk, Hospitality, Catering, Cleaning, Reprographics, Post Services, Reception, Project Management and Security.  The role of the reception team is to provide high level front line customer service and maintain a professional reception area at all times.      
 
Key Responsibilities

  • Meet & greet visitors/suppliers in a professional manner, logging details onto the Visitor Management system as required
  • Record correct visitor details and issue/retrieve all visitors’ badges
  • Ensure arrival of visitors is communicated to staff members in a timely manner
  • Answer telephone calls efficiently, politely and professionally
  • Work with security to ensure all suppliers/couriers attending reception record the correct details for access
  • Escalate issues as required to Security and Facilities management
  • Issue and collect staff temporary passes, following up as required
  • Maintain a professional reception area at all times, ensuring the company is represented to the highest standard at all times
  • Act as Facilities representative in reporting faults within the buildings
  • Look for new practices/procedures to ensure the optimum service is provided
  • Provide updates to Management as required
  • Work with the Helpdesk & reception team, and provide additional support to management where required
  • Manage the meeting room suite in the concierge area 

Ad Hoc Duties

  • Support with cover across alternative receptions within the business as required
  • Provide support on the Facilities Helpdesk when necessary – receiving incoming calls in an efficient and professional manner, and inputting customer details and job requests utilising FACTS system, prioritising job requests and checking on progress. 

Skills & Experience

  • Previous Reception experience is essential
  • Excellent telephone manner
  • Excellent communication/interpersonal skills at all levels
  • Ability to work as part of a team as well as on own initiative
  • Strong organisational skills
  • Computer literate – Microsoft Word, Excel
